Send Checkout Link
How to send a checkout link to your guest. When to send it, what the guest does, and how it compares to check-in.
Overview
The checkout link lets the guest photograph each room's condition when they leave. This creates the post-stay record that is compared against check-in photos in the final condition report.
When to send
- On checkout day: The most common timing. The guest photographs rooms right before leaving.
- After check-in is complete: The checkout link only works after the guest has completed check-in for the same stay.
STRProof can send the checkout link automatically if you added the guest's email. It is sent on the morning of the checkout date.
Sending the link
- Go to Stays in the sidebar.
- Open the stay detail page.
- Click Send Checkout Link.
You can also copy the link and send it through any messaging channel.
What the guest does
The checkout flow is similar to check-in but simpler:
- Welcome screen — The guest sees the property name and a reminder that this is the checkout walkthrough.
- Room-by-room photos — For each room, the guest uploads photos of the condition as they are leaving.
- Confirmation — A final screen confirms the checkout is complete.
There is no house rules step or guide step at checkout. The guest has already seen those at check-in.
How checkout compares to check-in
| | Check-in | Checkout |
|---|---|---|
| Guest guide shown | Yes | No |
| House rules | Must accept | Not shown |
| Consent | Required | Already given |
| Room photos | Yes | Yes |
| Flag issues | Yes | Yes |
After checkout
- The condition report is updated with checkout photos.
- You can compare check-in and checkout photos side by side.
- The report is ready to be sealed and downloaded as a PDF.
Tips
- Remind guests to complete checkout before they leave the property. Once they are gone, the photos will not accurately reflect the condition at departure.
- If a guest leaves without completing checkout, you can photograph the rooms yourself and note that the guest did not complete the process. This is noted in the report.
