Generate Condition Report
How condition reports are created after check-in, with room-by-room photos and timestamps. How to seal a report to prevent edits.
What is a condition report
A condition report is the complete documented record of a stay's condition. It includes check-in photos, checkout photos (if completed), timestamps, guest acknowledgments, and baseline photos — all organized room by room.
Automatic generation
Reports are generated automatically when:
- A guest completes check-in (a preliminary report is created)
- A guest completes checkout (the report is updated with checkout photos)
You do not need to manually create reports. They appear in the Reports section as soon as data is available.
Report contents
Each report includes:
- Property details — name, address, and timezone
- Stay details — guest name, check-in and checkout dates
- House rules — the rules the guest accepted, with the acceptance timestamp
- Baseline photos — per room, uploaded by the host before the stay
- Check-in photos — per room, uploaded by the guest at arrival
- Checkout photos — per room, uploaded by the guest at departure (if completed)
- Flagged issues — any items the guest flagged during check-in or checkout
- Timestamps — exact date and time for every action
Viewing the report
- Go to Reports in the sidebar.
- Find the report by property name, guest name, or date.
- Click to open the full report.
- Navigate room by room to compare baseline, check-in, and checkout photos.
Sealing a report
A sealed report is locked and cannot be edited by anyone — host or guest.
To seal a report:
- Open the report.
- Click Seal Report.
- Confirm the action.
When to seal:
- After the guest completes checkout
- Before sending the report to an insurance company or rental platform
- When you are satisfied that the report is complete and accurate
Once sealed, the report's photos, timestamps, and data are permanently locked. This ensures the report can be trusted as a factual record.
Partial reports
If a guest completes check-in but not checkout, the report still exists with check-in data only. You can download it as a PDF at any time. If the guest later completes checkout, the report is updated automatically.
Tips
- Review reports promptly after each stay while the details are fresh.
- Seal reports for stays where damage was found — this protects you in disputes.
- Download the PDF for your records even if you do not need it immediately.
